Batch and Serial Number Tracking in Zoho Inventory: What to Turn On, and When

Batch and serial tracking are the two settings people enable last and regret configuring in a hurry. The decision is per item, it is effectively one-way, and it changes how every transaction is entered.

There is a moment in most inventory implementations where someone asks whether the system can tell them which customers received a specific production lot. If you sell food, pharmaceuticals, cosmetics, chemicals, electronics or anything under warranty, that question is not hypothetical — it arrives with a supplier complaint or a regulator. Zoho Inventory answers it through advanced inventory tracking: batch numbers or serial numbers. Both work well. Both are far easier to set up correctly at the start than to retrofit.

Batch versus serial: pick by how the goods move

The distinction is about granularity, not industry.

The rule of thumb: if a customer complaint about one unit would require you to identify every other unit made at the same time, you want batch tracking. If the individual unit has a warranty, a service history or a registration attached to it, you want serial tracking.

An item in Zoho Inventory can be batch tracked or serial tracked, but not both. Choose deliberately — switching an item's tracking type after it has transaction history is disruptive and usually means creating a fresh item and closing out the old one.

Which plan you need

Advanced inventory tracking is not available on the entry tiers. In Zoho Inventory it sits on the Premium plan and above, which as of 2026 is around ₹4,999 per organisation per month in India before GST — a per-organisation charge, not per user, which is why it is often cheaper than businesses assume once they compare it to a per-seat ERP module.

Setting it up without creating a mess

  • Enable advanced inventory tracking at the organisation level first, then enable it item by item — it is not a blanket switch
  • Do it for items with zero stock on hand where possible; opening balances for tracked items need batch or serial detail, and reconstructing that from memory is painful
  • Agree a batch numbering convention before anyone creates the first one. Supplier lot number, or your own date-based scheme, but pick one and document it
  • Record manufactured and expiry dates at the point of receipt, not later. A batch without an expiry date defeats the purpose
  • Train the warehouse on the new transaction flow — receipts, invoices and adjustments all now demand batch or serial selection before they will save
  • Decide who is allowed to make inventory adjustments on tracked items, because an adjustment that skips batch detail breaks the audit trail

What changes day to day

Every stock-touching transaction gains a step. When raising an invoice for a batch-tracked item, the operator picks which batch is going out; Zoho sorts the available batches with the first-expiring one at the top, which nudges the team toward FEFO without you having to enforce it manually. Purchase receipts require batch or serial entry before they post. Inventory adjustments have their own tracked-item flow so that write-offs stay attributable to a specific lot.

This is the part teams underestimate. Tracking adds perhaps fifteen seconds per line item, which sounds trivial until you are picking a hundred orders before the courier cut-off. Plan for it: barcode scanning on receipt and dispatch turns those fifteen seconds into two, and is worth setting up at the same time rather than as a later project.

The payoff

Traceability is the obvious one — you can work forward from a batch to every customer who received it, or backward from a complaint to the lot and the supplier. That turns a recall from a week of spreadsheet archaeology into a report. Expiry visibility is the quieter win: knowing which stock expires in sixty days lets you discount it deliberately instead of writing it off. And for warranty businesses, serial history means a service request resolves in one call instead of three.

Composite items and item groups can be batch tracked too, which matters if you assemble kits or bundles and need the finished goods to carry their own lot identity separate from the components.

Before you switch it on

Map which SKUs genuinely need tracking. Enabling it across an entire catalogue because it sounds thorough creates data-entry burden on items nobody will ever trace. Most distributors end up tracking somewhere between 10% and 40% of their catalogue. Frequently asked questions

Can I enable batch tracking on items that already have stock and history?

Technically yes, but it is the hardest path. Existing quantity has to be assigned to batches, and past transactions will not retroactively carry batch detail, so your traceability starts from the switchover date. Where possible, enable it on new items, or wait for a stock count so opening balances can be entered accurately.

Does Zoho Inventory enforce FEFO or FIFO automatically?

It assists rather than enforces. When selecting batches during a sale, available batches are presented ordered by earliest expiry, so the correct choice is the default one in front of the operator. It will not block someone from picking a later batch, so if strict rotation matters you need a process rule and periodic review, not just the software.

What if I need both batch and serial numbers on the same product?

Zoho Inventory does not support both on a single item, so you choose the level that carries your legal or commercial obligation — usually serial where there is a warranty, batch where there is an expiry. If you genuinely need dual identity, that is normally handled with a custom field for the secondary number or by extending the process in Zoho Creator, which is worth scoping properly.
