Zoho Inventory Sales Returns (RMA): Setup Guide for Returns, Restocking and Credit Notes
Returns are where stock counts and customer balances quietly drift apart. Here is how Zoho Inventory's sales return flow keeps the warehouse, the books and the customer in sync, and the settings to get right first.
Related service: Zoho Inventory →Every business that ships physical goods deals with returns: a wrong size, a damaged carton, an order a distributor over-stocked. Handled in spreadsheets or email, returns cause two slow leaks. Stock that came back is never added to inventory, or worse, damaged units are added and later sold. And the customer's credit is tracked on the side, so accounts and sales argue about what is actually owed.
Zoho Inventory has a built-in return merchandise authorisation (RMA) flow called Sales Returns. It links the return to the original sales order, separates receiving the goods from crediting the customer, and posts both to stock and accounts. Below is how it works and how we configure it for clients.
How the sales return flow works
| Step | What happens in Zoho Inventory | Effect |
|---|---|---|
| 1. Mark items returnable | Set the returnable flag on each item (perishables can be excluded) | Only eligible items can be added to a return |
| 2. Create the sales return | Raise it from the original sales order, choosing items, quantities and reason | Documents the RMA; stock does not change yet |
| 3. Receive the goods | Record a receive when goods physically arrive, in one or several batches | Good units are added back to stock |
| 4. Separate damaged units | Mark damaged or expired quantities as credit-only | They are credited but never added to sellable stock |
| 5. Create the credit note | Generate it from the sales return | Customer balance is reduced in the books |
| 6. Refund or adjust | Refund cash, apply the credit to open or future invoices, or raise a new order for an exchange | Customer account is settled |
The key design choice is that creating a sales return only records intent. Physical stock rises only when you record the receive, which mirrors reality: a customer saying they will send something back is not the same as the box arriving at your dock.
Settings to get right before your first return
- Decide which item categories are returnable and set the flag in bulk via import, rather than item by item
- Turn on batch or serial tracking for return receipts if you sell tracked goods, so the exact unit that came back is recorded
- Agree on return reasons (wrong item, damaged in transit, quality issue, excess stock) so the sales return history report is useful
- Define who can create returns and who can issue credit notes; separating the two is a simple internal control
- Write your refund policy into the process: credit for future purchases, cash refund, or exchange
Restocking vs damaged goods
This is where most stock errors come from. If a pallet of ten comes back with three broken units, receive seven into stock and record three as credit-only. The customer is credited for all ten (if your policy allows), but your available quantity only rises by seven. If you need to track write-offs, follow up with an inventory adjustment against a damage or scrap reason so the loss is visible in reports rather than buried.
Marketplace and multi-channel returns
If you sell on Amazon, Shopify, eBay or Etsy through Zoho Inventory's integrations, record returns against the synced sales order so the restocked quantity flows back to every channel's available stock. This prevents the common problem of a returned unit sitting in the warehouse while the website still shows it as out of stock.
Limitations to plan around
- Returns are raised against sales orders, so drop-shipped or manually fulfilled orders follow a different path
- Service items and purchase-only items cannot be returned
- Composite items (kits and bundles) are returned as a whole, not component by component
- An exchange is handled as a credit plus a new sales order, not a single swap document
- Returns to your own suppliers are handled through purchase-side documents such as vendor credits, not the sales return module
Feature availability and transaction limits vary by Zoho Inventory plan and region, and Zoho updates the module periodically. Verify current plan inclusions and pricing on Zoho's official Inventory pricing page, and test the full flow in a trial or sandbox organisation before going live.
GST and accounting notes for India
In India, a credit note issued against a GST invoice must carry the right tax details and be reported in your returns, and the original invoice reference matters. When Zoho Inventory is connected to Zoho Books, credit notes post to the same ledger your accountant files from, which removes the manual reconciliation step. Have your accountant review the credit note template and tax settings once before your first live return.
Getting it running
For most small and mid-sized businesses, configuring returns is a short project: item flags, tracking settings, roles, reasons, templates, and a test run with a real order. As a certified Zoho partner, we usually set it up together with reorder points and warehouse rules so returned stock is counted correctly in replenishment from day one.
Frequently asked questions
Does creating a sales return in Zoho Inventory add stock back immediately?
No. The sales return records the RMA. Stock increases only when you record a receive for the returned goods, and you can receive in multiple batches for partial returns.
How do I stop damaged returns from going back into stock?
Mark the damaged or expired quantity as credit-only on the sales return. The customer can still be credited, but those units are not received into sellable stock. Use an inventory adjustment if you want to record the write-off explicitly.
Can I refund a customer directly from a return?
Yes. Create a credit note from the sales return, then either record a refund from the credit note or apply the credit to the same customer's open or future invoices.
