Two types of locations: Business Locations vs Warehouse-Only Locations
Zoho Inventory distinguishes between two location types — and this distinction matters. A Business Location is where your business operates: an office, a shop, or a headquarters. It's where you can take sales, issue invoices, and manage operations. A Warehouse-Only Location is pure storage — a distribution centre or a stock yard that holds inventory but doesn't generate its own transactions. Most multi-warehouse setups use a mix: a Business Location at headquarters that handles orders, and Warehouse-Only Locations where stock sits.
Step 1 — Enable Multi-Warehouse in Zoho Inventory
By default Zoho Inventory runs with a single warehouse. To add more, go to Settings > Warehouses and click Enable Multi-Warehouse. Zoho creates your first warehouse automatically using your organisation's address and sets it as the Primary Warehouse — you can rename it or leave it as is, but there's always a primary location that handles default stock levels and the catch-all when no specific warehouse is mentioned.
Step 2 — Add warehouses and decide Business vs Warehouse-Only
For each additional location, click Add Warehouse and fill in the address. Then decide: is this location a Business Location (takes orders, ships locally, invoices in its own name) or Warehouse-Only (holds stock, ships on demand to other locations)? A typical multi-location setup looks like: HQ in Delhi (Business Location) + a distribution centre in Bangalore (Warehouse-Only) + a retail shop in Mumbai (Business Location). Once added, each warehouse becomes selectable when you create a sales order or receive a purchase order.
Step 3 — Enabling bin locations for precise stock tracking
This is optional but powerful — instead of 'Bangalore has 50 units of item X', you track 'Bangalore bin A3 has 15 units, bin B7 has 30 units, bin C2 has 5 units'. Bin locations let you answer 'where exactly is the item?' rather than just 'do we have it somewhere?' For manufacturing, retail, or anything with organised storage, this precision is worth the setup cost.
Bin locations are available on Zoho Inventory's Premium plan (up to 2,000 bins per warehouse) and Enterprise plan (up to 5,000 bins per warehouse). To enable, go to Settings > Warehouses, click the gear icon on the warehouse you want to track by bins, and click Enable Bin Locations. You can then create a bin naming system (like 'Aisle-Rack-Level': A1-1, A1-2, A2-1, etc.) that your team uses to organize and find stock.

Step 4 — Stock counting and reconciliation across warehouses
Once you're tracking across multiple locations, physical stock counts matter more than ever. Zoho Inventory's Stock Count feature lets you perform a periodic recount of each warehouse independently — flag discrepancies between system and physical, understand drift, and adjust. For multi-warehouse businesses, doing this quarterly or bi-annually per location keeps your system honest.
Step 5 — Inter-warehouse transfers
Once stock is in Bangalore but a customer in Delhi wants it, you need to move it. Zoho Inventory's Stock Transfer feature creates an internal document: 'move 10 units of X from Bangalore warehouse to Delhi warehouse'.
